The Problem
The Dog Man has a very high customer service ethic. During his 1-2-1 sessions his attention is undivided and it would be impossible to achieve the desired results if distracted by phone calls. In addition, potential clients enquiring about his services, or existing clients looking to book their next appointment needed to have their calls dealt with in a timely, knowledgeable manner.  An astute business man, he knows that there is nothing more dangerous to a growing business than the risk of losing sales opportunities to a competitor who is available to help them immediately.
The Solution
The Dog Man had already successfully used the telephone answering services of RED Virtual Office on an ad hoc basis to take calls out of hours and for holiday cover. During a particular one week holiday the team at RED booked around 20 appointments into his diary and The Dog Man realised the ongoing value of a continuous call answering service.  RED now supplies The Dog Man with two PAs, Harry and Sammi, who have built an understanding of the business and a rapport with his clients. This enables them to talk knowledgeably about his services when an enquiry comes in, handle price objections and close the sale. Using Google Calendar, the RED Diary Management service means the team have sight of his availability, book appointments into his diary and colour code these according to appointment type. The Dog Man points his existing clients back to the team at RED for re-booking appointments thereby providing continuity in communication and reinforcement of his back-office process.
The Result
The Dog Man now has a robust support network in his business which enables him to concentrate entirely on time with his clients and on building relationships with other relevant contacts and organisations. The investment required is less than half of the cost and commitment that would be needed if he were to employee someone within the business and he never has to worry about his service levels dropping in periods of sickness or holiday. Problem
Dals Hart caters to very busy women. Due to their clients’ assiduous nature, it was imperative that their calls be answered immediately to ensure a professional and timely experience. At the point of setting up the business, Darlene identified that in order to be perceived as both professional and credible, assistance would be required to take incoming calls and manage her diary. Her skills and time were far better spent with her clients delivering the expertise that they were paying for. Darlene also felt she needed to improve her social media presence, but did not have the necessary experience in marketing. A decision needed to be taken between employing someone to support the business and outsourcing to a reputable, trustworthy company.
Solution
Red Virtual Office have a team of professionals experienced in delivering a high standard of call answering and customer service. Red provides Dals Hart with a unique phone number to route all calls to, and a dedicated PA to ensure continuity. The PA works closely with Darlene in order to understand Dals Harts’ services and be able to give the appropriate consultation charges and knowledgeable information to prospective clients. Using Google Calendar, Red’s Diary Management Service means that the Red PA is able to book consultations directly into the Dals Hart calendar. Red also helps to improve Dals Harts’ online presence by providing them with daily social media management which includes 2-4 posts being updated to Twitter, Linkedin and Facebook profiles on each weekday. They provide notification of any social media interaction directly to Dals Hart which allows Darlene to respond personally and promptly. Red also posts any specific information requested, allowing Dals Hart to retain an element of control over the posts representing their company.
Results

Why did you choose Proclaim as your Practice Management System?
We’ve been clients of Eclipse for many years – almost for as long as the business has been around! Initially, we chose the Proclaim system because of the approachability of the staff, their desire to listen to our needs and the excellent follow through from support. Over the years – even as Eclipse has significantly grown – the firm has not lost the personal touch. Uniquely for an expanding firm, the senior management team has not lost contact with us and is available to discuss any opportunities as to how we can improve our use of Proclaim.
What day-to-day benefits do you see from Proclaim?
The ability to amend the system and tailor it is amazing. Proclaim gives us the control we want over our processes and working practices – for example, with help from Proclaim, we have been able to meet CML panel requirements as we have implemented the requests into the system. On top of this, the inbuilt toolsets mean we can easily organise or create changes to workflows as client or business needs demand. We can continuously develop the system and without the need of an IT specialist – thanks to Eclipse’s detailed training, my partner and I have learnt the necessary skills. We are now extremely confident in amending the day-to-day workflows to incorporate the inevitable changes in the conveyancing process. Proclaim has also enabled us to reach the ISO International Management standards and we have now officially been awarded Investors in Business. Both of these have been achieved because we have been able to structure the necessary requirements within the system. All our staff follow these requirements – often without even knowing – because Proclaim complies with the standards so easily. Additionally, the integration between Proclaim and the Land Registry’s Business Gateway (LBRG) enables us to seamlessly interact from our Proclaim desktop, and utilising Web Services, Proclaim provides 2-way integration for both data and documentation. Reducing costs from property transactions is vital – clients expect an effortless and transparent service and thanks to Proclaim’s integration, we have access to a solution that provides the ultimate in operational effectiveness, and the capability to further enhance our client service.
How has FileView enhanced your client service?
Firstly, it allows our clients to follow their case 24/7 – the data that we publish via FileView is live so our clients have the ability to view up-to-the-minute case progress and the freedom to visit their case out of hours. Secondly, it enables us to securely display Proclaim case information on our website for our clients, and we are in control of how much information is accessible – whether it’s full case histories or simple key milestones. Essentially, it’s a great way to keep our clients informed. Case data of our choice is displayed, and is accessible via a secure password system. Our clients can send messages to us via the interface, and we can choose to make certain fields available for editing (for example, names and addresses). Additionally, the document viewer enables our clients to seamlessly view Word, PDF and Excel files in their native format. Why did you choose to implement TouchPoint and what are the benefits? Legal services provision is constantly changing – clients and customers are demanding more information, at a quicker rate – and we required a mobile application that puts clients at the centre of our service, but with the flexibility to suit the ever-changing conveyancing sector. After a lot of market research, we discovered Eclipse’s TouchPoint was a better option for our firm and our clients. Eclipse’s TouchPoint system will provide a completely personal ‘self-service’ experience. With a manageable interface and personalised interactive tiles, it will allow us to deliver bespoke live data and information to clients, via any smart device and any web browser. Essentially, TouchPoint will enable our clients to be involved, in touch and in control of their case – allowing us to stand apart from competitors. TouchPoint will also offer complete transparency. Clients will have the ability to check on their case and the documentation at any point and from anywhere using TouchPoint. The flexibility and transparency will give clients the full conveyancing picture, and a greater understanding of the entire process, using plain-English explanations and useful FAQs. Very well! One of the key benefits of Proclaim is its ability to evolve. The Problem
Chubb Bulleid approached Conscious with a brand in need of modernisation.  Despite being a well-established firm in the South West for over 160 years, the Chubb Bulleid brand lacked identity. In order to modernise their image, a brand needed to balance a fresh new look with their rich heritage, while showcasing Chubb Bulleid as a trusted, professional and local firm.
The Solution
A sense of modern professionalism underpinned the rebrand project.  The Conscious design team found harmony between a contemporary style and fresh, natural colours to mirror the firm's rural office locations in the South West of England. The new brand image gave the firm a modern, professional look, while never losing sight of their rich, 160 year heritage.  The designs filtered into the website and mobile site where a mixture of bold colours and strightforward navigation created a conservative feel with a modern twist.
The Results
Since the website launch, Chubb Bulleid has received a steady flow of enquiries directly from the website.  Subsequent Search Engine Optimisation projects are performing well, with excellent results appearing for their office location phrases; Somerset, Somerton and Wells.

The Problem
As a newly established firm, Fortis Law's new website needed to position them as a boutique firm with a modern approach; striking the balance between coporate and contemporary. It was imperative that the website showdcase Fortis' extensive local business knowledge of Brighton to engage the local businesses.
The Solution
As a truly unique firm, Concsious suggested an illustrative design for the homepage.  This positioned Fortis as a progressive and individual firm.  Fortis commissioned a local artist to complete the illustration which picked out elements of the Brighton landscape; both appealing and intereseted to their clientele, local businesses. The design was warm, bold and inviting for visitors, combinig traditionally corporate tones of navy and light blue with a vibrant orange to add a contemporary twist.
The Results
Fortis Law kicked off thier brand new website with a successful launch party, during which they received glowing feedback on the new design from their clients. The unique illustration on the homepage had the desired effect; much interest was generated from the artist's original style. Fortis Law have received enquiries as a direct result of the website, and now that the compromise agreements form is live on the site, they're confident this will be an excellent source of new business.  WIth events on the horizon, SEO development and investment in social media, they're assured that their website will become an invaluable source of income.

The Problem
Harneys contacted Conscious Solutions in November 2012 when they felt that their website and overall brand image had become outdated and no longer represented the firm's core values, vast experience or level of legal excellence.  In order to remain competitive in the global field, Harneys needed a new brand that was clear, simple and polished.
The Solution
Interviews were held with all of the partners at Harneys to establish what they expected from the new corporate brand.  There was a general consensus for a sophisticated, elegant and understated design to protray quality and professionalism. The usability of the website was also a priority; the site needed to be clear, clean and above all, easy to navigate.
The Results
Conscious created a brand that conveyed the sophisticated nature or Harneys' work and reflected their position at the top table of international law firms. A set of detailed brand guidelines were developed to ensure brand consistency across all marketing channels, including website, mobile site, power points, e-newsletters, pop-up banners, and by marketers implementing the brand across different countries. “First off we provided Avensure with a copy of the asbestos surveys which were completed and provided to us by our clients. We needed Avensure’s expertise on what the job would entail based on the findings on those surveys. A small company owned and ran by Peter McCarthy, producing artisan bread and other baked goods. The business retails the baked products on various markets across the south of England. Peter prides himself on building this business over the last 10 years from scratch.

Why did McCarthy Country Store need HR or Employment Law Advice and Legal Assistance?

An ex-employee had commenced proceedings in the employment tribunal. Peter had been handling the matter himself fairly comfortably for several months and had attended tribunal on the first occasion on his own against the claimant’s solicitors. As matters became more protracted and the claimant’s solicitors were seeking a sum over £26,000, it was then that Peter decided to engage the services of Avensure to represent him in the next tribunal hearing as well as the long term services of outsourced HR advice and support. The claimant was claiming that they had been discriminated against, unfairly dismissed and further to this claiming unpaid wages, notice pay and holiday pay. Peter instructed Avensure with approximately 1 week to go before the next tribunal hearing.

How did Avensure help address their HR issue?

After reviewing the paperwork Avensure advised Peter on the course of action. Avensure took preparation for the tribunal out of Peter’s hands and contacted the tribunal as well as the Claimant’s solicitors. With only a few days preparation the Claimant’s solicitors had already halved their settlement expectations by making an offer of £10,000 in full and final settlement. The hearing was to deal with complex issues, law and submissions in trying to have the claim struck out on an intricately argued legal point. The claimant was cross examined whilst on oath and Avensure were able to demonstrate frailties, inconsistencies and make the claimant’s evidence look wholly unreliable. After some scrutiny from the tribunal the submissions and representation from Avensure was well reasoned and all the claims against Peter were struck out and the claim failed without progressing any further. Peter commented “I wouldn’t usually want to have outsourced services like HR but now I wouldn’t look back and think that the result was exceptional. It was a great result with such a limited time before the hearing and I’m pleased to have engaged the services of Avensure. I attended the previous hearing and understood the majority of it but this one was more technical and more legal and I was thankful for Avensure’s representation and I look forward to having Avensure as a valued partner for the years to come.”

The Ark made contact with Avensure’s Health and Safety advice team regarding our lone Working policy and procedures. Whilst it was identified by the Health and Safety consultant, that our current policy was comprehensive, there were some areas outstanding that needed to be addressed.

How did Avensure help The Ark address their Health and Safety?

We spoke directly with a Health and Safety advisor to ask if they were able to provide us with a working example of a lone working policy. The working policy gave us the ability to see what was required in our own setting and also highlighted the need for a risk assessment of which we needed support with. Our advisor responded promptly and sent us a template risk assessment along with guidance on this which we found really helpful. We felt that whilst the information required within the template risk assessment was really useful, we decided to use a different layout so that we could input the information we felt was necessary for The Ark and combine it into one document. The advisor was able to adapt straight away to our unfamiliar risk assessment layout, which helped us greatly in further understanding our own documentation. Whilst we understand that as a business we have to compile our own documentation, the advisor went above and beyond supporting us and spent time providing further pointers and information to cement our understanding of this specific topic. “The advice team are always on hand to help, we felt comfortable in asking for assistance and we always receive a competent response in a timely manner. This experience has given us further confidence to continue the implementation of further risk assessments and know that Avensure are on hand should we require their support.”

At the time of coming on board with Avensure I was not involved with the Health and Safety for the club. From being appointed the responsible person for Health and Safety, it was clear that there was little proactive implementation of Health and Safety arrangements. It was from reviewing the initial report produced by Avensure, that I sought further assistance with the interpretation and implementation of our duties under UK Health and Safety Law.

How did Avensure Help Beechwood (Leeds) WMC address their Health and Safety?

The initial evaluation visit was carried out with Avensure’s Health and Safety Consultant. The initial evaluation visit involved a review of the current Health and Safety documents, assessing what systems and controls are in place, a walk around of the premises to see how this is implemented in practice. The visit is closed with a brief session on completing a risk assessment by going through a worked example. “I wasn’t present at the initial Health and Safety Evaluation visit and although the documents were well presented, I was not familiar with what I had in front of me. I contacted the Avensure Health and Safety team for some further assistance as I was the new appointed responsible person for Health and Safety.” Following the initial Health and Safety visit, it was established that further assistance was needed to review the action plan and implement the processes into the business. “The response time from speaking with the Health and Safety team and being contacted by their Health and Safety consultant was fantastic. I also appreciated that Avensure had arrange for the same consultant who had carried out the initial Health and Safety evaluation visit to come and meet with me for a second time at no extra cost to Beechwood WMC.” Avensure provided support through the process of the implementation of the Health and Safety Management System and regular interactions resulted in a clear and systematic approach to Health and Safety within Beechwood WMC. “The consultant that was allocated to us had a vast amount of knowledge for our sector and was very personable. I found the support visit very interesting and was able to familiarise myself with the first report that was produced in my absence. During this Health and Safety support visit, the consultant reviewed the Health and Safety documents with me and step by step we went through the risk assessment process. I found this an invaluable tool during the early stages of my role as the responsible person for Health and Safety. The systematic action plan produced by the consultant enabled us to work through the most urgent items first and prioritise our actions going forwards.”

The course took me around 40 minutes to complete, I also found it helpful that you can save the course at one point, then come back to it at a later date. I was also awarded with a professional certificate that can be used towards my CPD and training log.”

We first approached Avensure for advice on the calculation of Holidays, this unfortunately had not been as straightforward as we originally thought, as given our industry we have a varied and mixed range of working patterns. We were unsure of our obligations under UK Employment Law and needed support, guidance and direction.

It was quite clear from the get go that Avensure were very experienced and knowledgable in all aspects of HR and Employment Law, and we were reassured to know that we would be able to contact an advisor on the helpline at any time of day, this is imperative given the nature of our business. Our dedicated adviser assisted us from start to finish with Holiday entitlement calculations giving us thorough guidance on the appropriate and easiest ways to make these calculations, as well as ensuring we were legally compliant under current Employment legislation. We also had an issue with the unauthorised absence of an employee, which Avensure has helped us to understand and explained what the process was in this particular instance and discussed with us the best route for the Company. We found this situation incredibly difficult to manage as we were unable to obtain any contact with a member of staff, and with Avensure’s support we were assured through each step that we were working towards a resolution. Operating in the hospitality industry we are at the coal face of customer service. It is essential that our employees are able to offer the impeccable service to our customers, in order to maintain the historic profile we have established. To ensure that we maintain our excellent reputation we enlisted the services of Avensure who are HR experts so are well equipped to guide us on all HR and Employment Law issues we may face.

How did Avensure help Pub Restaurant Ltd address their HR issues?

Avensure have been able to offer us the support and guidance with all aspects of HR and Employment Law to ensure that our image and standards are never called into question. In July 2015 we had a particular issue with a member of staff who was believed to have been taking money from the till, and ultimately seen on CCTV. This was a clear breach of the trust which we had placed in that individual and we were thankful for Avensure’s expertise on how best to address this under current Employment law legislation. Avensure gave us options to allow us to see which would be the best route for us to take. We chose to ultimately proceed to take formal disciplinary action for this alleged act of gross misconduct. Avensure guided us through investigation, suspension and ultimately the disciplinary processes. Our dedicated HR advisor helped us with Agendas and bespoke letters to send to the employee, and any other specific HR documentation we required. We had particular difficulty getting the employee in question to attend the hearings and we were unsure how best to address this. Avensure worked alongside us, as we requested the employee’s attendance at the disciplinary hearing. Ultimately we were left with no option to proceed in the employee’s absence. We were relieved that we had 24/7 access to an experienced HR and Employment Law adviser on the advice line, and also that we had the indemnity protection under the service. We felt reassured that help was always on hand.

We had a sensitive HR issue and we didn’t know how to deal with it so we needed help.  We were very unsure where we ultimately stood as a company with regards to our Employment Law obligations.  We want to look after our staff, but we don’t want to do anything that could put the company at risk. Our client was helping her mother to the car when she tripped on a defective paving slab, as she put her foot on one slab it sunk, exposing the raised edge of an adjoining slab. Client reported the matter and the defective slab was rectified the following day.

What we did

I am really delighted with the way things are going and really appreciate the help and assistance you and the team have been giving me. As you know other pressures slowed my initial progress but recently our joint strategy of a quick pre-sell / pre-qualify conference call followed by a face to face meeting seems to be working.   To summarise, this is where my sales pipeline has moved to after a few telephone calls and two days out together visiting prospects:   1. A large law firm in Portsmouth where our first discussion with the CEO lasted just 33 minutes and resulted in a request to ‘see us as soon as possible’ and a meeting 4 days later at which they said “we have to do this, please confirm your proposal and we will crack on…”.  As discussed the CEO has apologised for the delay but “staff appraisals have slowed progress…”.  I am promised a call back to progress things before the end of this week.  And that is amazing as we only spoke for the first time less than three weeks ago and have only met once.   This success is all the more surprising as they already have a specialist supplier dealing with feedback and their PR company providing Case Studies – it is great to know that we appear to have something highly valued. The key benefit they are buying into is the ability to up-sell and cross sell their services into the corporate clients using the CCP to do so.   2. An accounting practice in Fareham.  This was perfect, they want everything we can offer and they appear keen to proceed after just one 35 minute conference call.  Despite the fact that we have not even met them yet I am optimistic that this will result in business very soon.  This is amazing as this is a well-established practice operating at the high end of the market.   3. An experienced senior executive with IBM and business advisor. It is clear that he has heard and seen just about everything in business.  It was fantastic to see his response to the CCP and the FBR3 system as solutions for both B2B and B2C businesses after just one meeting.  He and I are now discussing how best to introduce the overall service into his very considerable network of businesses large and small, many of whom have employed his services in one form or another over the years.    4. Patent Attorneys in Hampshire.  A great meeting yesterday with one of the partners.  After one quick discussion it was great to know that he is very keen to present the CCP to the marketing partners at their next meeting. Given their specialisation, the scope to cross sell into their client base was clearly a major influencing factor in his enthusiasm. He seemed to be very confident that they will go ahead after the August holidays.     Time Scale: Given that all of the above has happened over the course of just the last three weeks and that EVERY SINGLE discussion and meeting has resulted in a positive outcome I am both amazed and delighted.   It genuinely seems that everyone we meet needs and wants what we do.  There seems to be absolutely no price pressure due to an apparent total lack of competition.     What would I say to anyone else thinking about joining our team? If you advise business and / or deliver any form of business development consulting, then you need to give the Customer Care Programme and TMS very serious consideration.  If you have clients and an established business, you will want to introduce the CCP to all of your clients.  If you don’t have enough clients, you will want to join us – the proposition is so compelling it almost sells itself.   My hot prospect list now totals more than 14 and several are potentially £60,000+ per annum prospects I am looking forward to a very bright future.

Steve.  Thank you for your help and especially the assistance of Jo, Andrew, Niki and Dan. As you know I would not describe myself as ‘The Best Salesman in the World’, far from it.  It was for that reason I was very happy to take you up on your offer of active sales support. Its a great product and I am really excited by the way things have gone and the way they are going. The process of organising a quick conference call whereby we talk and then dial in a customer to deliver the sales message over the phone and then follow up with a face to face meeting is excellent.  It saves time going to abortive sales meetings and trying to sell the service to someone who is not yet ready.  I had not realised that the ‘qualification’ call would also effectively move the sales process forward usually to the “start the pilot” stage.. I have never been to sales meetings at which the client was ready and keen to proceed with a complex and relatively expensive solution by the end of just one sales meeting.  I have certainly never had customers chasing me after the first meeting for an invoice so they can pay us to get to work immediately.  I have also never been in a position where there are apparently no competitors, which presumably explains why we are seemingly able to go from sales pitch to order so fast – i.e. without having to compete with other suppliers. Anyway, I am delighted with the progress and whilst I am slightly worried about the volume of work that is going to come my way I am confident that together we will quickly be able to deal with anything customers will throw at us. So again thank you – to say my expectations have been exceeded would be somewhat of an understatement, it was the the right decision to put all my efforts into The Marketing System and the Customer Care Programme.
